How I look after your information.

Who this is for

This policy covers the free digital audit form on this website. I'm Bill Maynard, and I run Made by Orbit as a sole trader in Bury St Edmunds. If you have a question about anything on this page, see "How to contact me" at the bottom.

What the form collects

When you book a free audit, I ask for:

• Your name
• Your business name
• The type of business you run
• A phone number or email address, whichever you'd rather I use
• Optionally, a short note on what you'd most like sorted

If you choose to tell me more before we meet, I may also ask where you're based, your current website or social media, how customers book with you now, and good times for a visit. All of this is optional, and I never ask for anything about your customers' health or any other special category information through this form.

Why I collect it

I use this information to get in touch with you, arrange your free 30-minute audit, and prepare a fixed-price quote for a website. I don't use it for anything else, and I don't sell or share it with anyone for marketing.

My legal basis for using it

Under UK GDPR, I rely on two bases here. Where you've ticked the consent box on the form, that's your consent. Where I need to hold and use your details to respond to a service you've asked for (your audit request), I rely on legitimate interests: it's reasonable for a small business to contact someone who has asked to be contacted, and this doesn't override your own rights and interests.

Where it's stored

The form on this site is sent using Formspree, a third-party form service that receives your submission and forwards it to me by email. Formspree acts as a data processor on my behalf: it doesn't use your details for its own purposes. You can read Formspree's own privacy policy at formspree.io (opens in a new tab). Formspree is based in the United States and keeps its own copy of your submission in its dashboard, in addition to forwarding it to me by email.

How long I keep it

If your enquiry doesn't turn into a client relationship, I delete your audit request and any notes within 6 months. If you do become a client, I keep your details for as long as we're working together, plus a reasonable period afterwards in case of any follow-up, accounting or legal reason to keep records.

Your rights

Under UK GDPR, you have the right to:

• Ask what information I hold about you, and get a copy of it (a "subject access request")
• Ask me to correct anything that's inaccurate or incomplete
• Ask me to delete your information
• Ask me to restrict or object to how I use it
• Ask for your information in a portable format
• Withdraw your consent at any time, where I'm relying on consent
• Complain to the Information Commissioner's Office (ICO) at ico.org.uk (opens in a new tab) if you're unhappy with how I've handled your information
